How to create Reports
Navigate to the Reports page via the Console dropdown list or the App Launcher on the top left side.
We can view reports with the available categories from the left hand side of the page. Users can create Private Reports accessible only to them and Public Reports with variable access depending on the user. (See Sharing reports section below). Click on New Report to access the Report Builder.
The Report Builder contains a list of all possible report types you can use to create Reports. This allows you to easily view data associated to each Object as well as data linked to multiple objects. For now, we will create a report to show data for Matters.
The new report will open and you can add or remove fields as report rows and columns. You can add fields from the search boxes or click Fields on the left and drag the option to the report.
The full list of fields you can add to the report can be viewed from the left hand side. A preview of the fields added will show a limited number of records. Click Run to view all records from the fields added to the report.
Users can add multiple fields to the report to view and categorise data from the system. Rows can be grouped based on the data set that needs to be tracked.
Additional options will emerge when rows are grouped.
Users can also add and edit filters to narrow search results. Filter options can be based off any field on the object.
Once all changes are complete, click Save as to save a copy to the system. Access is determined by the folder location the report is saved in.
Sharing Reports
If a user wants to share a report to specific people and keep this data private, they can create folders with restricted access to this data. Select New Folder at the top right of the page and enter it's name.
Click Share from the dropdown list of the new folder. The screen interface will give you options to share access to one or multiple users or groups and determine their level of access.
Please see the summary of report access levels below.
View → Only open and read reports, no changes allowed.
Edit → Change report properties (name, description, filters, columns, charts).
Manage → Control folder-level settings (share folder, change permissions, move/delete reports).
